DETAILS FOR ACADEMIC STAFF

  Teaching Mobilities through the “Education, Scholarships, Apprenticeships and Youth Entrepreneurship”, 2014-2021, programme.
This action allows the academic staff of WUT to do a teaching mobility in an institution of higher education participant in the programme, with which WUT has a bilateral agreement. The total duration of the teaching mobility is of a minimum of 8 hours of teaching per week (5 working days) in an academic year, in the limit of available places within the frame of existing inter-institutional agreements in that academic year.
The objectives of this type of mobility are the following:
  • To encourage institutions of higher education to enlarge and enrich their course offer, as well as their course content;
  • To allow students whom do not have the possibility to participate in mobility programmes to benefit from the knowledge and the expertize of academic staff from institutions of higher education and the staff invited from companies from other countries part of the programme;
  • To create relationships between institutions of higher education participating in the programme;
  • To motivate students and staff from the university to participate in mobilities and to help them to prepare the teaching mobility.

Teaching mobilities can be undergone by academic staff from institutions of higher education.  In all cases, the activities undergone by a staff during a teaching mobility must be integrated in the host institution’s curricula. The institutions of higher education must have previously agreed on the activities to be carried out by the participating teachers (the teaching programme). When the person undergoing a teaching mobility comes from an institution of higher education, the mobility must have as a basis an inter-institutional agreement between the sending and the host institution.  

The participants will receive a financial help which will cover subsistance and transport expenses.
The EEA grant is:
Individual support (subsistence) for staff from Romania on a mobility in another institution from a Donor State 250 € /day (unit cost) 1250 € /week (unit cost) 2200 € /2 weeks (unit cost)
Extra subsistence costs can be allocated for maximum 2 days of transport (one before the beginning of the visit and one after the visit), if travel time lasts longer than half a day and the extra grant will be paid upon arrival at home university, together with the second, 20% of the total grant, payment.  
 
The values of the EEA grant for transport will differ based on the distance between the home university and the host university, as follows:

 100 to 499 KM: 180 EUR per participant
 500 to 1999 KM: 275 EUR per participant
2000 to 2999 KM: 360 EUR per participant
3000 to 3999 KM: 530 EUR per participant
4000 to 7999 KM: 820 EUR per participant
Nota bene: “Travel distance” represents the distance between the home university and the host university, while “Ammount” convers the contribution for transport round-trip.
The Travel distance (from home university to host university and return) represents a  fixed amount and is calculated as a straight line according to https://ec.europa.eu/programmes/erasmus-plus/resources/distance-calculator_en)
 
The payment of the EEA grant is done directly to the participant via bank transfer (euro account opened at Banca Comercială Română, as follows:
  • first installment (80% of the total grant) before the mobility;
  • second installment (20% of the total grant) upon completion of the mobility following the submission of these documents ( attendance certificate, final report of the mobility and declaration of avoidance of double funding).
   

THE SELECTION
  Each academic member interested in a teaching mobility will prepare a file containing the following:
  • A written request addressed to the Dean, (specifying the faculty, the department of origin and the university for which you apply);
  • CV in English;
  • A letter of intention in Romanian, which specifies the teaching and professional objectives the candidate will follow during their mobility as well as the expected results (1-2 pages);
  • A recommendation letter from the Dean’s / the department’s director’s part, in Romanian;
  • The Mobility Agreement for Teaching proposed by the candidate, written in a language convened on with the host institution;
  • Language proficiency certificate (from the authorized chairs)
  • Invitation from the host institution (optional)
 
The file will be submitted for evaluation at the secretariat of the faculty. The submission of incomplete files or a submission after the established deadline equals the elimination of the candidate from the selection process. All files will be registered. Academic staff with no prior mobilities as well as those mobilities which will contribute to the development of new cooperation projects between faculties are given priority.  

At the end of the mobility, the academic staff will come to WUT and summit, at the International Relations Office, in maximum 10 working days from their return home, the documents marking the end of their mobility. Moreover, the participant shall fill in and submit the online Final Report of the mobility abroad within 30 calendar days upon receipt of the invitation to complete it.
Those who do not fill in and send the aforementioned questionnaire will be asked to fully or partially refund the EEA grant.

    AFTER THE SELECTION
 
  • Minimum one month prior to their leave, the participants must submit at the International Relations Office a request for a displacement arrangement. The request must be followed by a letter of acceptance / mail of acceptance from the host institution specifying the exact dates of the mobility.
  • On submission of the request for the displacement arrangement, the participant will be drawn up the financial contract of his teaching mobility. In this sense, the participant is kindly asked to provide a copy of his ID card and a bank statement from his account at the Banca Comercială Română.
  • Once returned from the teaching mobility, the participant needs to present at the International Relations Office the following documents:
  • Certificate of attendance (signed and stamped by the host institution);
  • Mobility Agreement for Teaching (signed and stamped by WUT and the host institution);
  • Declaration of avoidance of double funding;
  • Documents attesting transport / accommodation fees during the mobility (plane / train ticket, gas receipt, etc.);
  • Activity report;

DETAILS FOR ADMINISTRATIVE STAFF    

TRAINING MOBILITIES  
This action allows the administrative, didactic and non-didactic, staff of WUT to undergo a traineeship within a company or institution of higher education part of the “Education, Scholarships, Apprenticeships and Youth Entrepreneurship”, 2014-2021, programme, with which the WUT has signed a bilateral agreement.
The full duration of a training mobility is of 5 working days, during an academic year, within the limits of the places available under the inter-institutional agreements in force in the respective academic year.
 
The objectives of the training mobilities within the “Education, Scholarships, Apprenticeships and Youth Entrepreneurship”, 2014-2021, programme, are:  
  • To offer the participants the opportunity to study and exchange knowledge and skills in order to acquire practical skills following activities such as: seminars, workshops, courses and conferences, periods of practical training, etc.
  • To allow the participants to learn from the experience and good practices of the host institution as to improve the necessary skills for their current job, following short traineeship periods, study visits, etc.
It is advisable that the participant in a training mobility do their traineeship within an event such as a “Staff Training Week”/ “International Week” organized by the host institution in this sense. Information related to these events can be found on the sites of the universities with which WUT has signed inter-institutional agreements, as well as on our site under “Staff Training Week Offers”, or by accessing the IMOTION platform (link: staffmobility.eu).  

The participants will receive a financial help which will cover subsistanceand transport expenses.

THE SELECTION
  The selection for training mobilities for academic staff within the “Education, Scholarships, Apprenticeships and Youth Entrepreneurship”, 2014-2021, programme, is decentralized and organized by  West University of Timișoara’s faculties.
  Each application file must contain the following documents:
  • A written request addressed to the Dean, (specifying the faculty, the department of origin and the university for which you apply – maximum 3 choice in the order of their preference);
  • A CV in English;
  • An intention letter, in Romanian, specifying your training and professional objectives to be followed during your mobility and the expected results (1-2 pages);
  • A recommendation letter from the Dean’s / the department director’s part, in Romanian;
  • The Mobility Agreement for Training proposed by the candidate, written in a language convened on with the host institution;
  • Language proficiency certificate in the language your mobility will be undergone (from the authorized chairs)
  • Invitation from the host institution (optional at the time of selection, but to be added
mandatory at the time of submission of the Application for the disposition of travel abroad).
The file will be submitted for evaluation at the secretariat of the faculty. The submission of incomplete files or a submission after the established deadline equals the elimination of the candidate from the selection process. All files will be registered.
Academic staff with no prior mobilities as well as those mobilities which will contribute to the development of new cooperation projects between faculties are given priority.

In what West University of Timișoara is concerned, the conditions applied in the case of study mobilities within the “Education, Scholarships, Apprenticeships and Youth Entrepreneurship”, 2014-2021, programme are the following:  
  • You are a student of West University of Timișoara and have finished the 1st year of B.A. at the moment of departure;
  • You have an average of minimum 7.00 on your previous academic years;
  • You have passed all your exams by the time of your departure;
  • Knowledge of English is a must
  Mobilities for students with special needs The “Education, Scholarships, Apprenticeships and Youth Entrepreneurship”, 2014-2021, programme particularly encourages students with special needs to benefit from international mobility. Students with special needs can benefit from additional (financial) support, in order to carry out the respective mobility in optimal conditions. Annually, starting with the 2013/2014 academic year, students with special needs from the Western University of Timisoara have benefited from international mobilities. Students with special needs interested in conducting an international mobility are encouraged to contact the Department of International Relations of the Western University of Timisoara.

In order to benefit from a study mobility within the “Education, Scholarships, Apprenticeships and Youth Entrepreneurship”, 2014-2021, programme during the 2020-2021 academic year, you have to submit your file online at: Faculty of Economy and Business Administration: feaa.international@e-uvt.ro Faculty of Letters, History and Theology: erasmus.lit@e-uvt.ro Faculty of Mathematics and Informatics: erasmus.fmi@e-uvt.ro Faculty of Sociology and Psychology: erasmus.fsp@e-uvt.ro Faculty of Political Sciences, Philosophy and Communication Sciences: erasmus.pfc@e-uvt.ro  between September 28th –  October 16th 2020, containing the following:
  • Certificate specifying the average marks of your previous academic years;
  • CV;
  • Motivation letter to justify the choice of host university;
  • Language proficiency certificate (from the authorized chairs) or other recognized diplomas; such is not the case for students already studying the respective language as part of their academic curricula;
  • A written request addressed to the Dean (specifying the faculty, the section, the year, the university for which you apply and the subjects you will study during your mobility).
Between the 19th and the 22nd of October 2020 the internal selection of candidates (evaluation of the file and interview) will be held, after which, on the 23rd of October 2020 appeals may be lodged and then the final results will be displayed.

The financial aid for a student mobility consists of:
  • Subsitence of 1200 euros/month (unit cost), sum to be received in two installments:
  • 80% of the total amount before strating the mobility;
  • 20% of the total amount at the end of your mobility.

LANGUAGE CERTIFICATES

  If you do not have a language proficiency certificate in English, you can undergo an evaluation at the Faculty of Letters, History and Theology. The fee is 20 lei to be paid on the day of the exam. The inscriptions for the evaluation are done at room 228.   For students in the Faculty of Economy and Business Administration, please refer to your secretariat for further details on the language skills assessment test held at your faculty.   Students who study or have studied in English during their higher education training are exempt of any test.

Now that you’ve been selected for a EEA study mobility let us get prepared success!  
  • BEFORE YOUR MOBILITY STARTS
  1. We will send your nomination to our partner university.
  2. You will have to fill in the APPLICATION FORM to give further details to your host university. This form is found either on the website of the university you have chosen or, in some cases, you will receive it via e-mail from our partners.
  3. Please note that there might be an online application done by your host university for accommodation and various other details. Check your e-mail and do exactly as asked.
  4. You will have to fill in a LEARNING AGREEMENT. In this sense, you need to check the website of the university you have chosen and discuss your course choices with the departmental coordinator of your faculty at WUT.
Do not forget, for one semester you will need 30 ECTS, while for a year you will need 60 ECTS.
  1. When you have your Learning Agreement ready we will proceed to the signing of a FINANCIAL CONTRACT.
In order to do so, you have to provide us with the following documents at least 1 month prior to the beginning of your mobility:
  • Proof of acceptance from the partner university;
  • A copy of your Learning Agreement, dated and signed by all parts;
  • A copy of your ID card or passport;
  • A copy of your international health insurance;
  • IBAN code (International Bank Account Number) from an account in euro at BCR bank;
  • Filled in GDPR form;
  1. Within 15 days of signing the Financial Contract you will have to provide us with a Notarized statement by a guarantor and a copy of your guarantor’s ID;
NB: It is highly recommended that the guarantor be a parent or close relative who will be jointly liable with you if you do not respect the commitments made through the Financial Contract.
  1. About 30 days after the financial contract is drawn up, the first installment of 80% of the EEA grant will be transferred to your account.
NB: Payment procedures of the grant are conditioned by the presentation of the Notarized statement by a guarantor and a copy of your guarantor’s ID.  
  • DURING YOUR MOBILITY
  1. Once you have arrived at the partner university, you will have to have the Arrival Certificate signed. Please make sure the dates in your Financial Contract match those on your Arrival Certificate! When the university signs and stamps your Arrival Certificate, scan it and sent it to mihaela.poputa@e-uvt.ro. Keep the original!
  2. Provide the Learning Agreement to your coordinator at the host university so that it is signed and stamped.
  3. You are allowed to make changes to your mobility’s initially established course list in the first month of your mobility.
Should any changes occur, please fill in the During the mobility part of your Learning Agreement and send it to mihaela.poputa@e-uvt.ro as well as to your departmental coordinator at West University of Timisoara in order to be signed and approved.  
  • AT THE END OF YOUR MOBILITY
When all is well and done you will have to provide us with the following documents signed and stamped in original:
  1. Arrival and Departure Certificate.
  2. Learning Agreement signed and stamped in original in its entirety – Before the mobility, During the mobility (if changes occur) and After the mobility.
  3. Transcript of Records - please, be aware of the fact that, in some cases, our partner universities will send it via post after the end of your mobility.
  4. Final report and the Statement of avoidance of double funding which you will have to fill in online. (link to be provided by the EEA Officer). At the end of your Final Report, there will be a confirmation page which you will have to print, date and sign.
After processing and checking that all the above requests have been fulfilled the last installment of 20% of your EEA grant will be transferred to your account.  

EEA GRANTS INCOMING STUDENT MOBILITIES

General Information

    The EEA Grants Programme offers support to students from WUT’s partner universities in Norway, Iceland and Liechtenstein to pursue a study mobility in Timisoara. This is possible  through mobility projects implemented between any higher education institutions in the European Economic Area (Norway, Iceland, Liechtenstein, namely Donor Countries) and their partners in Beneficiary Countries (Bulgaria, Croatia, Cyprus, Czech Republic, Estonia, Greece, Hungary, Latvia, Lithuania, Malta, Poland, Portugal, Romania, Slovakia and Slovenia).

  The International Office at your home university has all the information you need regarding: available opportunities/subject areas for mobilities, selection process and grant value.

  Your grant will consist of: subsistence component + travel component

   
Subsistence (for students) for mobilities from Donor States to RO 1000 EUR/month (for incomplete months the grant will be calculated by multiplying the number of days from that specific month with 1/30 of the monthly grant- 33 EUR/day)

The study mobility can vary from 3 to 12 months/cycle of study, but we reccommend you pursue a mobility of one semester or one academic year.
  Courses succesfully followed at WUT will be recognized by your university based on the European Credit Transfer System (ECTS).

I was selected by my university. What now?

  1. Nomination:
The International Office of your university has to nominate you as an EEA Grants student at West University of Timisoara (RO TIMISOA01). The e-mail nomination will include: full student’s name, age, sex, study programme. You will, afterwards, be contacted by our EEA Grants Officer concerning the next step.

2. Application procedure 
2.1. Fill in your Learning Agreement for Studies based on Courses at WUT . Please take into consideration that WUT has an open policy about incoming students’ access to courses, therefore, you are able to choose courses from any of our faculties. You may find useful our list of study programmes fully taught in a foreign language.
2.2. Save, Print and Sign the document “Learning Agreement for studies” together with the responsible person at the sending institution.

Accommodation 
 
Student dormitories
  • Accommodation for incoming EEA Grants students at West University of Timisoara can be provided on request (via e-mail, together with your Learning Agreement for Studies)in our dormitories situated in the student area and in the city. See map
  • Double rooms (shared bathroom) and triple rooms (private bathroom), internet and cable TV, sheets and covers included. You'll have to share your room with other WUT students.
  • Accommodation price is around 25€ /month, rent & expenses.
  • Assigned dormitory and roommates will be randomly established.
  • If you requested accommodation, a spot will be booked for you. Two weeks prior to your arrival you will be informed, by email, about the dormitory that was assigned to you as well as the check-in procedure.
 

Apartment
  • Another option is to rent a flat in the city. This is usually more expensive, the average price for a two rooms apartment being around 200-250 €/month, but this depends on the location (more central = more expensive). Cohabitation is another option, so costs can be shared. In this case, apart from rent, you'll also have to pay for monthly expenses such as electricity, water or heating.

EEA GRANTS INCOMING STAFF TEACHING AND TRAINING MOBILITIES

General Information

  This action allows the following types of staff mobility:
 
  • teaching mobility of a duration of 5 days (excluding travel time) for teaching staff from a DS university in a Romanian university (minimum 8 teaching hours per week are compulsory).
  • training mobility with the aim to participate in seminars, workshops, training courses, study visits, job shadowing, for teaching and non-teaching academic staff from a DS university in a Romanian institution. The duration is of 5 days (excluding travel time).
 

The sending and hosting institutions shall first agree on a Work Programme to be achieved by the participant undertaking the mobility (teaching or training).

  The Work Programme will contain at least the following: objectives of the mobility, added value of the mobility, agenda and content description of the teaching/training programme and the expected outcomes and impact.

  For a member of the teaching staff undertaking a teaching mobility, the latter should be initiated under the framework of an inter-institutional agreement existing between the sending and host institutions.  
At the end of the period spent abroad, the hosting institution shall provide the participant as well as the sending institution with a Certificate of attendance; this document shall mention the participant’s name, the purpose of the activity undertaken and the confirmation of its start and end dates.  

Staff mobility for teaching and training

Teaching and training staff coming from DS universities can teach a number of classes or train at West University of Timișoara, in the frame of “Education, Scholarships, Apprenticeships and Youth Entrepreneurship”, 2014-2021, programme under the existing inter-institutional agreements.  Please check with the International Office at your university the availability of such an agreement.  

All academic details (such as: which class to teach, when to come, teaching language, level of students - enrolled in the first, second or third level, etc.) of your stay should be discussed with the Academic Coordinator from the faculty you are interested in teaching at, or your contacts at the potential host university.
All administrative details of your stay should be discussed with the Officer in charge, Mihaela-Elisabeta PROTEASA-POPUTA (mihaela.poputa@e-uvt.ro). Please feel free to contact her for any inquiries you might have.
At the end of your stay in Timisoara, you will be issued a certificate stating your mobility period and the details of the activity you performed.

  The participants will receive a financial support which will cover subsistence and transport expenses.

The EEA grant is:
Individual support (subsistence) for mobilities from Donor States to RO 150 € / day (unit cost) 750 € /week (unit cost) 1250 € /2 week (unit cost)
Subsistence for additional 2 travel days (one before the beginning of the visit and another after the visit) could be allocated ( if needed)
 

The values of the EEA grant for transport will differ based on the distance band between the home university and the host university, as follows:
Travel distance Amount
10 to 99 KM: 20 EUR per participant
 100 to 499 KM: 180 EUR per participant
 500 to 1999 KM: 275 EUR per participant
2000 to 2999 KM: 360 EUR per participant
3000 to 3999 KM: 530 EUR per participant
4000 to 7999 KM: 820 EUR per participant


Nota bene: “Travel distance” represents the distance between the home university and the host university, while “Amount” convers the contribution for transport round-trips.

The Travel distance (from home university to host university and return) represents a  fixed amount and is calculated as a straight line according to https://ec.europa.eu/programmes/erasmus-plus/resources/distance-calculator_en)

  The payment of the EEA grant is made directly to the participant via bank transfer (euro account) as follows:
  • first installment (80% of the total grant) before the mobility;
  • second installment (20% of the total grant) upon completion of the mobility following the submission of these documents (attendance certificate, final report of the mobility and declaration of avoidance of double funding).
